Working back from your show date

This is the part that matters most, because an event date cannot move. Plan backwards:

• Artwork approval — allow a few days; we send a free digital proof and nothing prints until you sign it off.
• Production — roughly 4–8 working days once artwork is approved.
• Door-to-door DDP delivery — a further 10–14 days, depending on quantity and destination.

Start at least four to five weeks before the bags are needed on site — and if the show is a hard deadline, build in a buffer beyond that. Order a free sample at the very start of your planning, when it costs you only the shipping and buys you certainty about the bag before a single unit is produced.

Choosing the right size for delegates

Size by what goes inside the bag on the day (all sizes are width × height in inches; custom sizes are available on request):

• Brochures and a bottle — 14×16 inch, the standard conference bag.
• A full delegate pack (notebook, brochures, bottle, samples) — 14×18 inch.
• Laptop-friendly, wide format — 18×14 inch.
• Exhibition totes and bulky collateral — 18×20 inch.
• Smaller breakout sessions or a lighter handout — 12×14 inch.

Err one size up. A bag that strains around a delegate pack looks cheap in every photograph taken that day.

Fabric weight: don’t under-spec the bag

This is where event bags are most often got wrong. A lighter cotton keeps the unit cost down and is fine when the bag holds a programme and a lanyard. But if delegates will load it with brochures, a water bottle and a laptop, choose a heavier canvas — it holds its shape on a chair, takes the weight through the handles, and doesn’t sag on the shoulder by mid-afternoon. Handles and construction

The minimum order is 50 pieces per design, and per-unit pricing steps down as quantities rise — so a 500-bag conference and a 50-person breakout session are both viable.
